Job Description

A local architectural company is seeking an Office Administrator to join their team and play a vital role in supporting the daily operations and marketing efforts of their organization. In this role, you will be responsible for scheduling meetings, managing building permit and plan processing, compiling reports, and coordinating fee proposal documentations.

The ideal candidate will an associate's degree and 3 years of previous administrative experience.

Hours

Full-time, Monday to Friday, 8:00am to 5:00pm

Location

Honolulu, Oahu

Pay

$20 to $25 an hour

Responsibilities

  • Answer multi-line phone systems, manage call transfers, and take accurate messages.
  • Manage incoming and outgoing mail.
  • Schedule internal and external meetings and prepare meeting minutes.
  • Update and maintain the company website, contacts, and project database.
  • Manage and coordinate building permit and plan processing.
  • Format and compile reports for client submissions.
  • Compile and submit annual qualification packages to various State and City agencies.
  • Prepare and coordinate fee proposal documentation for private and public solicitations (RFPs).
  • Schedule annual shredding services and assist with moving/lifting file boxes (up to 20 lbs).
  • Order office supplies and equipment; coordinate deliveries and pickups.
  • Perform other duties as assigned.

Qualifications

  • Must have an associate's degree. Bachelor's degree preferred.
  • Minimum 3 years of administrative experience.
  • Previous experience with design tools such as Canva is highly desirable.
  • Must have a valid Hawaii driver's license.
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint, Publisher).
  • Familiarity with procedures in architecture or engineering-related fields preferred.
  • Strong communication (verbal, written, interpersonal) skills.
  • Strong analytical and organizational skills.
  • Ability to multitask and problem-solve.
  • Ability to lift up to 20 lbs.
  • Successfully complete a 90-day probationary period.
  • Ability to pass pre-employment state and federal background check and drug test.
