The HR Administrative Assistant performs administrative task to support the HR department. This position will handle employee records, facilitate training, events, and provide guidance on HR policies and procedures. The HR Administrative Assistant reports directly to the Controller and will also assist the IFSH Leadership Team with clerical duties.

 

Salary: $46,000 - $50,000

Job Type: Full-time

Shift and schedule: Monday to Friday 8:00 AM – 5:00 PM

Duties/Responsibilities:

  • Supports human resources department by screening, testing, and interviewing applicants.
  • Provides orientation for new employees by providing information packets, reviewing company policies, gathering withholding and other payroll information, explaining benefit programs, and obtaining signatures for documents.
  • Maintains human resources records for employees by recording the hiring, transfer, termination, change in job classifications, and merit increase dates as well as tracking vacation, sick, and personal time.
  • Administers employee benefit program including medical insurance, 401K, and disability programs by advising employees of eligibility, providing application information, helping with form completion, verifying submission, and notifying employees of approvals.
  • Documents and tracks human resources actions by completing forms, reports, logs, and records.
  • Sets up and schedules complicated meetings for interviewees, hiring managers, employees, and department heads.
  • Accomplishes human resources department and organization mission by completing related results as needed.
  • Answering telephones, receiving employees, and providing customer assistances
  • Distributing mail, uniforms and receiving shipments
  • Assisting staff with various clerical tasks and special projects
  • Liaising between employees and management
  • Manages workers compensation and TDI claims, verifying that claims are properly investigated, documented, and reported in a timely manner and following up on the employee’s safe return-to-work
  • Address employee relations issues, such as harassment allegations, work complaints, or other employee concerns
  • Confer with management to develop or implement personnel policies or procedures
  • Represent the company at job fairs
  • Track monthly and annual site safety and equipment inspections
  • Payroll processing backup
  • Miscellaneous administrative support

 

Required Skills/Abilities:

  • Bilingual Tagalog and English is a plus
  • Ability to drive their own vehicle with mileage reimbursement
  • Proven work experience as a Administrative Assistant or similar role
  • Good understanding of the full cycle recruitment process
  • Demonstrated knowledge of employment law
  • Excellent verbal and written communication skills
  • Excellent interpersonal, negotiation, and conflict resolution skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Strong analytical and problem-solving skills
  • Ability to act with integrity, professionalism, and confidentiality.
  • Knowledge of HR practices, including recruitment, interviewing, hiring, employee relations, and staff development
  • Proficient in Microsoft Office Suite or related software.
  • Proven work experience in payroll

Education and Experience:

  • Bachelor’s degree and/or work equivalent
  • One year of administrative support experience
  • Microsoft suite experience
  • Scheduling experience
  • Spreadsheet experience
