FISCAL/ADMINISTRATIVE ASSISTANT – ID# 224768.

Regular, Full-Time, RCUH Non-Civil Service position with the Pacific Cooperative Studies Unit (PCSU), located in Honolulu, Hawai‘i. Continuation of employment is dependent upon program/operational needs, satisfactory work performance, availability of funds, and compliance with applicable Federal/State laws.

 

MONTHLY SALARY:  $4,071/Mon. 

 

DUTIES:  Provides professional customer service to meet projects’ fiscal needs.  Prepares fiscal documents for processing and follow-up actions (e.g., routine purchase requisitions, authorization for payment, cash reimbursements, and mileage vouchers).  Gathers necessary information to prepare and process documents on a timely basis.  Prepares and processes travel requests and completions, including foreign travel.  Handles project inquiries in a professional and timely manner.  Monitors bidding process, non-routine purchase orders, receiving procedures, sole source, etc.  Inputs/updates fiscal records and agreements on established files and database.  Provides support to finance personnel by updating fiscal files and spreadsheets.  Assigns data entry, scanning, and filing work to student assistants. 

 

PRIMARY QUALIFICATIONS:

 

EDUCATION

Associate’s Degree from an accredited community college.

EXPERIENCE

One to three (1-3) years of administrative office and clerical experience or related experience handling fiscal, administrative, or procurement actions.

KNOWLEDGE

Knowledge of preparing fiscal documents, processing travel, and procurement actions.  Knowledge of common office practices including operation of standard office machines, personal computers and MS Office applications.

ABILITIES & SKILLS

Ability to type 50 wpm accurately and follow operational procedures and general instructions.  Good verbal and written communication skills. Post Offer/Employment Condition: Must be able to pass a post offer criminal background check.

SECONDARY QUALIFICATIONS:    

 

Associate’s Degree from an accredited community college in Business.  Familiar with database applications.  Familiarity with University of Hawai‘i (UH), Research Corporation of Hawai‘i (RCUH), and UH Foundation policies and procedures.
